A weekly organisation checklist for blended families

Use this checklist one arrangement at a time. Then review your own commitments across them, without merging private information between co-parents.

By CoParentOS · Updated

Before you start

Write the arrangement name and the week beginning date at the top of your copy. Repeat the checklist for each separate arrangement. You can copy this page into a note or print it from your browser; no account is needed to read or use the checklist.

This is an organisational aid. It does not set parenting time or replace the arrangements that already apply to your family. Leave an item blank if it is not relevant, and avoid adding sensitive personal information to a copy that will be widely shared.

Schedule and handovers

  • Review the next seven days of agreed dates and actual pickup times.
  • Check the location for each handover; do not assume it is always the same.
  • Identify school closures, activity changes or appointments that affect the routine.
  • Review any pending schedule-change proposal and its current status.
  • Note any action you need to take, and when a response is needed.

Write uncertainties as questions rather than quietly turning them into calendar entries. For example: “Confirm whether Tuesday’s appointment changes pickup” is different from recording a new pickup time as agreed.

What needs to move between homes?

  • School bag, uniform or equipment needed for the next school day.
  • Activity kit and other agreed belongings.
  • Forms or notices that need a parent’s attention.
  • Any practical item already agreed for the transition.

Keep this list factual and specific to the child’s coming week. Our belongings-between-two-homes guide offers more detail. The purpose is preparation, not keeping score over every forgotten item.

Shared costs

  • Add any relevant new cost with its original amount and currency.
  • Attach or locate the supporting receipt.
  • Check which expenses need review or a response.
  • Distinguish a recorded payment from a recipient-confirmed payment.
  • Note your next action without assuming an unresolved request is agreed.

If the same shopping trip included costs for several arrangements, separate the relevant items and amounts before sharing records. Do not send another co-parent unrelated children’s details just because they appear on the same receipt.

Documents and communication

  • File new school or activity notices in the right arrangement.
  • Check that titles and dates distinguish current documents from older copies.
  • Read outstanding child-related messages and identify concrete questions.
  • Keep private reflections in private notes, not a shared document.
  • Confirm that anything being shared outside the app has the intended audience.

Your own cross-arrangement review

After checking each arrangement separately, look at your responsibilities together. Are two pickups overlapping? Is there travel time between commitments? Are there several response deadlines on the same day? Create a short personal action list and raise each issue with the relevant co-parent.

This personal review does not require a shared all-family calendar. In CoParentOS, use the family selector to review each arrangement. Other co-parents remain limited to their own arrangements.

Finish with three actions

Choose the few things that actually need doing this week. For example: confirm Friday’s pickup, upload the excursion notice, and respond to one expense request. Put a date beside each. A small completed list is more useful than a perfect checklist nobody returns to.

If you want a place to keep these records, CoParentOS blended-family support provides separate arrangements under one login, without extra arrangement fees. The checklist itself remains free to use without subscribing.
